New Hire Orientation

  • New employees are required to attend a new hire orientation session within one month of their start date. New employees receive a link to enroll in orientation in their welcome email. New hires can enroll for in-person, remote or self-paced orientation. Please keep in mind you need access to 文轩探花 systems before accessing the self-paced orientation, this generally happens within 24 hours of your hire date.
  • Orientation is scheduled the first and third Monday of each month (except听when a holiday falls on a Monday) from 9:30 am-3:00 pm with a one hour break from 12:30-1:30 pm. 听
  • Onboarding for all employees in the morning & benefits听overview with Q&A for benefited employees in the afternoon. Non-benefited new hires only need to attend the morning session.

Before Your First Day

Complete I-9 Verification

All new employees at the 文轩探花, including faculty, staff and student employees, and returning employees are required by law to complete these forms on or before their first day of employment:

Section 1: Information from Employees

Employees must provide the acceptable documentation (i.e. Passport, State Driver鈥檚 License, Social Security Card) and upload through HireRight after their background check is complete.

Section 2: Verification by Employer

After new employees have uploaded their I-9 Section 1 required documents in HireRight, Employment Services will reach out to set up an appointment to verify their documents. This can be completed virtually Monday-Friday or in-person by appointment only.听

My4D

My4D Action Items (Online)

My4D is the internal portal for all faculty, staff, and student personal information and resources.听Login using 听your听firstname.lastname@du.edu听username and password.

If you need assistance logging in to the portal for the first time, please contact IT Support at 303-871-4700 or email IT@du.edu.听

Once you have logged in to , complete these employee action items:

  • Complete your Employee Profile
  • Set up Direct Deposit (Payroll questions contact University Financial Services)
  • Complete your W-4 tax form W-4 Withholding Allowance Form (Questions contact University Financial Services)
  • Sign up for electronic delivery of your W-2 (Questions contact University Financial Services)
  • Register for critical incident notifications and provide emergency contact information
  • Complete any confidentiality & patent agreements 听
  • Sign up for Expense Reimbursement Direct Deposit (different from Payroll direct deposit).

All parking on the 文轩探花 Campus is either permit or fee-based. As such, there is no free parking on campus, and anyone parking on campus must either display a valid permit or pay the hourly fee. We also have an agreement with the City of Denver prohibiting University parking on streets adjacent to campus, a policy we adhere to in the interest of lessening negative impact on the surrounding area.听

文轩探花 ID (In-Person)

The ID card is your official identification while at the 文轩探花. All 文轩探花 constituents including students, faculty, staff and are听REQUIRED听to carry their ID card while on campus. Some campus buildings and facilities are locked and require a ID card to enter.听

All staff and faculty, including non-benefited and adjunct faculty, are required to get an ID Card. New faculty and staff should submit on-line for a new photo ID or visit the 文轩探花 ID office. Once submitted, please contact us by e-mail to make arrangements to pick-up your ID card at the Driscoll Center South.

Required Trainings (Online)

Communicate with your supervisor about required trainings and equipment needed for your role at 文轩探花. You will access these trainings in the My4D portal under the Talent@文轩探花 section. Here are some examples of required trainings:

  • Responsible Employee Training for Equal Opportunity & Title IX
  • Active Shooter Preparedness
  • 文轩探花 FERPA Training
  • Mandatory Supervisor Training (For roles that will supervise employees)

All employees are required to participate in Performance Management at 文轩探花. The program is designed to encourage regular conversations with a focus on employee development. For more information and yearly tasks visit our Performance Management website.

Onboarding Guide for Managers

Welcoming a new member of your team is an exciting time. As a manager, to ensure you are ready to get your new hire up and running, we have created this checklist to provide useful tips and tricks on how to onboard your new hire effectively.

Two Weeks Before New Hire Start Date

  1. Provide your new employee with their 文轩探花 ID number (87XXXXXXX).
  2. Announce to team and others, as needed, the new hire and his/her start date.
  3. Work with new hire to determine the best orientation date (ideally close to their start date). These are typically on the 1st and 3rd Mondays of each month.
  4. Contact your new hire prior to their scheduled orientation date. Welcome them, and provide your contact information (i.e. email, phone, cell phone) and the best way to contact you.
  5. Discuss IT needs and requirements for your new hire.
  6. Request software and hardware using the IT Help Desk鈥檚 Service Catalog. Help Desk website: /it/index.php/services;
  7. If needed, coordinate with the new hire and IT to ship the employee their equipment.
  8. Add the new hire to the necessary department communications (email lists, websites), as well as recurring meetings.

One Week Before New Hire Start Date

  1. Create a list of contact names for the department and their phone numbers to give to the employee on their first day.
  2. Consider upcoming training opportunities to find out which ones would be beneficial for your new hire.
  3. Select one or more members of your team who may serve as a 鈥渂uddy鈥 to the new hire and connect them. Think of someone who could fill in if you are unavailable to answer questions.
  4. Discuss requirements to complete Section 2 of their Form I-9 with Employment Services with in the first three days of being hired. Website: /human-resources/I-9process-employees

First Day

  1. Arrange a live, Zoom or Microsoft Teams meeting to introduce your new hires to other members of your team.听
  2. Provide your new hire with a schedule for the first few weeks and continue to stay in contact regularly so your new hire doesn鈥檛 feel isolated or lost.
  3. During another conversation with your new hire, discuss guidelines and expectations for working from home OR schedule a time, location, etc. for reporting to work. If working on campus, be sure the new hire鈥檚 office/desk is ready.
  4. Have an initial project the new hire could be begin doing some work on the first day or within a couple of days to engage them in their work and role as soon as possible.
  5. If they do not have orientation with in the first week, please have them review benefits for enrollment. Benefited employees must enroll with in 30 days of hire. Benefits website: /human-resources/content/current-benefits-plans

First Week

  1. Provide training specific to department/school or role.
  2. Make time for a roles and responsibilities discussion. This gives the employee an idea of what they will be doing on a day-to-day basis, department projects, busier times of the year for the department, etc. Essentially, you want to clearly communicate the HOW and WHY of the job.
  3. Schedule the employee to meet with key people within the department who can give them an understanding of how they fit into the division/department structure, who they depend on in their role and who will depend on them.
  4. Schedule meetings with key people in other departments as applicable.
  5. Connect the new employee with their onboarding buddy within the department who can assist during the first few months.

First Month

  1. Set up check-in meetings at 30 days, 60 days and 90 days to go over job performance and goals. Visit the Performance Management website: /human-resources/TAD/performance-management or email performancemanagement@du.edu for questions about the performance management cycle.
  2. Ensure that your new employee has completed the following training in Talent@文轩探花, the LMS for benefited and non-benefited employees. New employees have 30 days from their hire date to complete the training and will receive automated email reminders to complete their New Employee Training.
